Base Design

Hi! Each record in my base has information about a specific business and the business zip code. I would like to add a filtering condition based on location. For example, I’d like to filter for records of all businesses within 100 miles of Boston. I know I can search for a specific zip code, but I’d like to be able to instead search for a radius around that zip code, to identify all records within a geographic range. Is this possible in a standard base, or with an app addition? Or is there some other location search workaround? Thanks!

Hi! We’re in the process of designing our base, and we manage an association where businesses have multiple employees within each membership. I’m trying to design a base to keep track of event attendance, event registration, membership (which is paid for under the business), lunch orders etc. Having trouble deciding: Do I setup my base with each contact as the primary field? Or should it be the primary membership holder as the primary and their affiliates listed in separate columns within the primary membership row? I’m thinking of having my event information (registration, budget, tasks) in a separate base so its easier to view and filter. We hold about 2-3 events per month. But this information (attendance and registration) will be a column in the main membership base. 3)Also we hold events at 3 different locations, would it be detrimental to have a base per location?

Hi Folks, I’m a project manager with about 30 clients. At any time, each client has one live project, and then it gets archived and we log the next one. So I only have to handle 30 projects at any time. So, I’m trying to use AirTable to export to Outlook as well as to track the projects in detail. I have a base setup with a Clients sheet / tab as the master, so that each Client can eventually accept multiple (sequential) Research Projects. I have that Clients sheet linked Research Projects sheet / tab with the key elements of a Start Date, Draft Date, and Delivery Date. (Reasoning behind this: Start to Draft = my research and writing stage; Draft to Delivery = my editing and checking stage). I am using those three dates in each Research Projects record to keep things simple. What’s my best way to set up a calendar or timeline view (or set up filters?) so that I can see the projects and track them at each stage? So I need to be able to see color code or other designation

I am using the base event marketing template. I added the events. Made no changes to the formula. The Event field shows (Empty). Please help new to Airtable.

Hi I’m newish to Airtable and I haven’t got to grips properly with Linking. As a newbie I’m using the ‘free’ version of Airtable. Do I need to have a paid account to link tables? If not please help, thank you very much in advance. Mike Scawen

I need data analytics. There will a lot Tables and thousands of records for this. Is this Possible in Airtable?

Hello, I have set up a form that has a dropdown menu of dates. I’ve linked them to a table of dates. Things I need help figuring out: 1) I need the dates to only be available in the dropdown menu if they are at least 24 hours from the current date. 2) I need the table of dates to auto-populate for every Mon, Wed, and Fri and to each have a label depending on the day. 3) I would like to include a time with the date table as well, they are all at 4pm EST but I have had trouble with timezones before.

I have the following hierarchy within my agency: Customers: Who take multiple services each month Services: Which are made up of multiple tasks Tasks: Which have multiple people work on them, all taking a different amount of time People: Who have a different hourly cost I have built the following tables in Airtable Customers Services Tasks People I have a ‘Services Delivered’ Table and each month we add to it the customer and the service they have taken (a new record/row for each). What I’m struggling with is how I can create a report (or a table first that needs to facilitate this) that shows me the amount of time spent on services that month by person. I’m guessing this would need to roll up the volume of services added for every customer across the month and also roll up the tasks which make up those services and finally rolls up the time by person spent on each. I have several survey forms, and they shares some duplicate questions. Moreover, one participant can fill the form multiple times. Is there a way to achieve as many of these bullets as possible? There is a way to aggregate answers of different forms of one participant into a place Each participant doesn’t have to answer the same questions in different forms (if a participant has already answer those questions in form A, then they won’t be shown in form B, or already has the answer) Whenever a participant redoes a same form, then I can track the changes in their answers

Hi, I’m trying to be smart about setting up a base design, but might be overcomplicating it: I have 9 product teams, who at the end of each sprint will send out a form to their respective partners, asking them to review the working relationship and progress (so two parameters). I have set up a base for a single team with a form collecting the reviews in one table and an other table calculating the average per parameter, per sprint. Ideally, I’d like to have all of the teams in one base, since I can’t sync more than 7 on the pro plan. Is there a good setup for this? The product teams need to have separate forms, as they have different partners and different sprint dates. Could I potentially have all teams in the same base, and let them send out their survey from their respective table? I’m afraid it’ll be a mess since I want the product teams to feel ownership of the reviews, but perhaps I could create different table permissions? Thanks in advance!

I am trying to create a base to track contributions. I am tracking the contributors, different funds, and the contributions themselves. Each is in its own table and I am cross-linking the Funds table and the Contributors table in the Contributions table. I also have a roll-up for total contributions for each contributor and I have a roll-up for the total amount received per fund. I then created a form to input. This works pretty well. The problem I am running into is if someone contributes to multiple funds then you have to submit a single form per fund. I would like to be able to enter the amount given to each fund in one record. That could be done by just making a field for each fund type in the contributions table, but that prevents me from being able to get a roll-up of the total contributions to a specific fund in the Funds table at least as far as I can figure out. Is there a way to give the end-user inputting the data the ability to input all the funds being contributed

Hi all, i run a maintenance company and we are looking for a solution that allows us to assign a large amount of tooling out to each team/individual. There was a previous topic titled “help tracking check in/out equipment for our small video studio using barcodes” this was helpful but i need to be able to do a bulk scan rather then input each item separately. for example, team one come to the tool container and grabs 20 items of tooling each has its own barcode assigned to it. ideally we open up a table named team 1, quickly scan all 20 items and they appear in that table. upon return they are scanned again and removed from that table. this is just my initial thoughts, maybe someone has a better idea on how to set it up, it just needs to be efficient as a lot of equipment will be signed in and out daily thanks heaps !

Hello all, I have created a base with 2 tables. Table 1 is the Sign In Table. It is fed from a form as I cannot allow students access to the table. Also, due to HIPAA, I cannot allow a list of their names to appear in the sign in form. This means they have to type in their names manually every time they sign in. This leads to typos, errors, irregular spelling, etc. All in all, it is sloppy. The form is updated every day with fresh typing and fresh errors as we cannot have folks viewing other names. I also have a sign out form that feeds to Table 2. The same issue happens about typing & new dates equals new input & new errors. I am relying on the hope that they can get their birthday typed in correctly so I have something I can work with which will appear in both tables. Hey folks! Having a rollup issue. Using rollups to aggregate outstanding debts. The rollup is conditional based on a multi-select for “debt” the first two records sum up fine, however the most recent addition is not being aggregated in despite satisfying the conditional. What am I missing here? Thanks for your help!

Hello AT Community, I am a bit stuck on understanding if this is something I am doing wrong or a system limitation. Here is the scenario: We have a CRM in AT that classifies a parent company as an Account and a member of that parent company as a Contact. Basic logic, and we have a linked relationship between both. When our marketing people go out and meet someone, purchase something for a client (lunch, etc.) we want them to update AT with what they did. This works fine when the Account and or Contact is already in AT. When it is not, we want to be able to add the new Contact and or Account on the fly off of the form and limit them going inside AT if possible. This scenario can exist when we have a new Contact that we have not had in our base, nor their parent company (Account). When we are adding the new Contact it is coming in from the form as a new field - which is what we want. The problem comes in when the person using the form realizes that there is

I am creating a base for tracking students through coursework in a program. I have a one-to-many relationship between students and the courses that they have taken. All the available courses are in a separate table. For each student in the program, I have a field called “Courses Completed” and there I pull in, from the available courses table, all that the student has taken. My question is, if I want to add the grade the student received or each course taken, how can I do that using the one-to-many structure I have set up.

Hello, I’m not a formula expert and I need your help. I created a table with a Suppliers, Products, Inventories/Stock, Sends/Packaging table. In my product table: This is the finished product (ex: a table) but which is composed of (a shelf and a foot) these are the components of my finished product. The product table will be directly linked to my billing. In my Inventory/Stock table: These are the components (ex: legs, shelves, etc). This table is linked to my supplier table. I would like to set up stock management, supply, classic in the inventory/stock table as well as an alert system when my stock is empty, etc. The question is: I have created a total quantity column in my inventory/stock table (supplier order) and a quantity column in my product table (customer order). I would like to be able that when I apply a quantity in relation to an order (finished product: ex: a table) in my product table that it be deducted from my stock (compound produc

I’m working on building a central product roadmap for my team. I know how to link records from one table to another, but I am struggling to link records from multiple tables to one single table. If I try to do it for the second table, it would just add another set of fields to the main table. Could anyone point me in the right direction? Thanks.

Does anyone know how someone would delete a record? I don’t want our team to be able to choose certain record options and want to delete them. They’re meant to link so that if someone looks up “City, State” only one shows up, but right now there are about ten for some options. I want to delete the other 9 options.

Hi all, I have been playing with Airtable for a while now but not high level enough to figure out scripting yet. I’m a farmer and I’m looking to make an Airtable solution for my spray applications. I’ve got a few tables that hold the general info: ‘Blocks’, ‘Chemicals’, ‘Applicator’ I’ve got another table that is my ‘chemical manifest’. This one grabs the particulars from ‘Chemical’ and I add the particulars such as purchase date, amount etc… The ‘JOB’ table is the workhorse. It allows me to record the ‘Blocks’ being treated with the ‘Chemical Manifest’ with which ‘Applicator’. My limitations are: Sometimes I add one chemical to a job, sometimes I add ten. I don’t want to add 10 sets of fields related to each ‘Chemical Manifest’ My application rate’s are sometimes different than the general label rate on the chemical,

I suspect the answer to this question is no, but I’ll ask anyway. Is there a way to auto-sort tables within a base according to usage? So, for example, I click a button or enter a keyboard shortcut that sorts my tables from left to right based on activity within the tables. They would be sorted based on activity since the last time I ran the sort feature. So those tables with the most activity (new records and updates to records) would be sorted to the left while those with little or no activity would be sorted to the right. For those with the same level of activity that would sort alphabetically. Thanks!

Is there an easier way to move a table from the end of a base (right side) to the front of the base (left side) without having to click & drag? Thank you!
