I have a number of tables that contain information about job applicants.  Some data is supplied by the applicant, some is suppled by HR.  Moreover, there’s a process (workflow) that captures different sets of data throughout the interview process.Can I base an interface on the audience?  The applicant wouldn’t be an Airtable user, while the HR rep would be. Can the interface change based on the state of the workflow?  Perhaps there is a state field that is read-only, but is modified by the completion of each step (applied, reviewed, interview, hired, etc).Thoughts appreciated.

Any clue why when trying to add a read only seat that I’d get this error about reaching the limit for number of guests? If they are read only I thought they didn’t count against anything? 

My company integrated Zendesk to our Airtable for an extensive reader feedback workflow, but we had to change our Zendesk account after a company acquisition. Our old company and new company had separate Zendesk accounts, and our goal after the acquisition was to close one and move everything over to the other. We had the old Zendesk account synced to Airtable as a source, along with our new Zendesk account.  All records are showing fine since we have a setting to leave the records even if it’s deleted from the source. Eventually we fully deprecated our old Zendesk account after moving over to our new one.However, our Airtable integration keeps displaying errors due to the old Zendesk instance, which causes confusion with people accessing the Airtable base. The only option we are given as admin is to remove the source, which is not what we want. This would delete all records associated with the previous source. Is there anyway we can “disable” a source instead o

Hello,For those who use managed apps in Airtable. Is there an easy way to identify the fields that were added at the managed app level, meaning fields that are specific to that app?Right now it’s not very clear which fields belong to the base structure and which ones were created by the managed app.Thanks for your help.

I am setting up an airtable database that functions like a preventive maintenance module (scheduled events with a start date and scheduled frequency create individual records/tickets based on the due date). I have an automation with a script meant to run daily to create anything due within 12 months, however, I keep getting duplicate records. I've been using omni to troubleshoot but have hit a wall.

I work primarily on a PC but when I sign into my mac using the same username and password, I can’t see all of my views.  I have ‘show everyone’s personal views’ selected but that shouldn’t matter when I’m logged in personally on both devices. Any ideas?

Hi,I’m trying to use linked records in a “When record is created” automation to create records in a repeating group, but I don’t understand how to get it to work.I googled and reviewed Airtable’s support documentation (https://support.airtable.com/docs/repeating-groups-of-automation-actions), but that was less than helpful. It confirms linked records can be used, but doesn’t open up how to do that.The background is that I want to create Invoice Header and Invoice Line Item records in separate tables based on one order record with products as linked records. First a new order triggers creating a new Invoice Header record, then this triggers creating a new line item record for each of the linked product records.(I first tried to create both the header and the line item records in one automation, but that didn’t work b

I’m making an analytics dashboard for a client. They want to be able to see the top X records by viewcount, which we track. When I make a graph for this, there’s simply too many records and the bar chart looks a mess.I want to create a formula field that has a rank and I can include the top 5 records in a bar chart. What’s the right approach for this? I am not a developer and hoping to avoid an automation w script.

pull a data point from the other table and auto-populate that data point in the original table based on a number common in both tables?  I am now using an automation to achieve this, but i want to make sure I need it.  Here’s the situation: Table one is called Commission UploadTable two is called Team MembersCommission upload has fields that correspond to a commission upload file that is consistent across most, if not all files that I will upload. Team Members has the rep name, rep code and the commission rate assigned to each rep. When I upload my commission file in CSV format, I want the Commissions Upload table to auto-populate the commission percentage by looking at the team members table’s percentage field and pulling it from there.  The automation makes the process clunky and slow, but maybe that is just a reality one has to accept. I can live with this if it’s the only way, but I thought I would throw it out there to see anyone

Hello-I have a table that receives information from a form set up with conditional logic to populate certain questions depending on which one of the 5 submission types they choose and want to consolidate the data into a smaller number of fieldsFor example, all of the forms contain an question that asks for a link but one submission type may need to be labeled “link to item purchased” while another field may need to be described “link to registration page”  For my purposes in the data, I can populate the link in one column because they all go into different views depending on what submission type they are. Instead of having a different field for each different description, is there a way for me to have different questions but the answer is all populated in the same data field?  I feel like I may be overlooking something really obvious. Thanks!

I’m trying to create a social media calendar view that shows posts colored by platform. The issue I’m facing is one post record may contain several platforms. The only way I can figure this out is by creating a new post record for every platform the post will go on, but that is redundant. Does anyone have a calendar view that shows social posts colored by platform? Or a similar way to set this up?

I am testing my commissions processing database and we have very large files that I will need to run an automation on and I hit my run limit.  Do I have to wait until next month to finish the test?  I know that sounds silly- I can just test less data, but I wanted to understand any limitations and how much time it takes for the automations to run to see if it’s even practical to use it.  

Hi everyone,I have an automation that matches keywords to a record. In this case it’s a person and their biography, e.g. I want to tag Neil Armstrong with Astronaut — chosen from a fixed list. NB. I have tried the deep match and it’s too slow for the volume I’m working with.Table A: ProfilesTable B: KeywordsIt compares the two and selects very well, but sometimes it invents new keywords. If I don’t allow the keywords field to be edited by automations, I get nothing. Does anyone have any bright ideas? Would this be better as a script (I had a script a year ago but can’t remember why I changed)Screenshot attached so you can see how I set it up.

Fairly new to AirTable, so this is probably really simple, but I can’t find anything helpful.When I have a Rollup field, I cannot expand the Formula field DOWN using the bottom corner handle - only to the right. This means I can only see about 1.75 lines of the formula. I’m copy-pasting in and out of Notepad to try to create/edit formulas because I can’t see the formula in AT.I can expand the Formula field down as far as 10 lines if the field type is Formula instead of Rollup. What on earth is going on here? 

We have 10,000+ clients that need to sign a legal document. I’m thinking I’ll have them authenticate via an Airtable form and then give them a link to a different site where they can sign the document. Anybody done anything like this? What third-party site did you use for signing the document – DocuSign? Something else? Having them download the Airtable app is simply out of the question. Has to be done entirely in web browser and we’re hoping to make it as easy as possible. Any suggestions gratefully received! William

Hi all! I’m looking for an app that will allow, either via direct integration or Zapier, for the dynamic creation of a pre-filled document for e-signature. There are tons of options (too many) out there, but I’ve yet to find something which meets all of my requirements: Create a pre-filled, yet still editable, document with data from Airtable (likely triggered by Zapier) Get the URL to that document BEFORE sending it to the signer. I do not want to send the document to a signer from the app itself. Rather, I want to retain the link in Airtable, and send it off to an individual in an email, based on a separate trigger. Trigger Zapier upon receipt of the signed doc I’ve tried many apps… I had high hopes for Formstack Documents and the new block, but upon sending the created document to Formstack Sign, the document is flattened and the signer can no longer edit any fields. Is there any option to integrate Adobe e-signature with Airtable? If yes, can someone please guide me through it?Based on the data entered in the Airtable, I want to create a PDF file which would be mailed to 4 different people to sign it. I also want to know that how can I create a PDF based on the data entered and automate to send it to all the people in the list and get it signed one by one with first in the list as first and so on. 

I see there have been a handful of posts pertaining to e-signatures in AT forms, but I decided to add another one since the most recent seems to be from 2021 and we know how fast things change in this space. My specific use case revolves around credit card authorization forms. As we rebuild our company website, one request from the CEO is to add an embedded form to our site. As it stands we use Adobe to create an editable PDF however I don’t currently have access to our login to explore what a logged-in admin sees when receiving a completed form. Currently we send the editable PDF form to clients via email. Most clients…it’s an old school industry, then print it, fill it out, scan it, then email it back. We then scan and file the hardcopy away. In my mind the ideal flow would be to embed on our site, allow user to fill it out with esign, and have submissions stored in a table somewhere (either adobe or AT) Any advice is appreciated.

There is now a secrets API for automation scripts.Why do we not have the same API available in script extensions?  I have an API server that I use to interact with an Airtable base, and I want some of my script extensions to use protected endpoints that require an API key header to access.  In my automations I can store this API key in the new secrets API, but in script extensions I have to hard code the key (terrible practice) in the script extension in order to access the endpoints.  And I can’t use an external API to manage/store/retrieve secrets because then I just have the same issue with another server—to retrieve those secrets I would need to hit an authenticated endpoint using some other secret.I’m just confused why, now that this secrets API has been added to automation scripting, it hasn’t been extended to script extensions.

I manage a statewide calendar on which people submit their events via a form. Many of these dates repeat weekly. How do I set up an automation to add subsequent events automatically rather than having to do it manually?
