Hi there. I am not a habitual Airtable user, nor am I much of a tech person, so I apologize if this question has been answered and I wasn't able to find it.I am developing a database for my perfume collection using Airtable, and for most parts of this project it's great. I would really like to be able to track the dates that I wore each scent (currently I do this in a hand-written notebook, and I have years of data that I'd love to input). I can't figure out if this is possible or how I might do it. I have seen both "no" and "yes?" posts but nothing definitive or for what sounds like the kind of tracking I am doing.Thank you very much in advance!

I've been trying to get this to work using a formula but haven't figured it out...What i want: I have a table that contains 1000 records, 12 of which i'm displaying on the web frontend via softr.io. Now what i want is to randomize the 12 records that will be displayed. This does not necessarily need to be randomized each time the page is refreshed/the API call to retreive the records is made. It could also randomize every minute or so.I guess randomisation on refresh/load would have to be made via the API call somehow. But if the API call always retreives records based on a static filter, I would have to randomize the results that the filter retreives on the Airtable side.Any idea how to do this?One simple solution I thought of which should semi-randomize every time the result of NOW() is updated in Airtable: Number records with autonumber. Take the seconds from NOW() and calculate based on the second (which is a value between 0 and 60) which block of 12 records should be taken. I.e. i

I have a table "Products" and a table "Artworks". The Product table has a lookup field to the Artworks table. In this lookup field, I assigned multiple Artworks to each Product (e.g. "Product 1" has assigned "Artwork A", "Artwork B", "Artwork C", and "Artwork D").Product 1 can only go into production once all Artworks assigned to Product 1 have approval status "Approved".In the Products table, I added a rollup field that shows the records from the "Approval Status" field from the "Artworks" table. By default, the values appear like this in the rollup field: "Not submitted, not submitted, Approval pending, Approved"Instead of listing all the records in the rollup field, I want the rollup field to show:IF all records = "Approved": output "ALL ARTWORKS APPROVED"ELSE: output "APPROVAL PENDING"or alternatively:IF any record is not = "Approved": output "APPROVAL PENDING"ELSE: output "ALL ARTWORKS APPROVED"I'm thankful for any tips!

hi there,I am trying to create a nested IF that checks if four cells are blank, and if they're not, returns the value that's there.When I use the below formula, it only ever checks the first IF, and it's driving me nuts!Can anyone help? I am creating a table/form to insert log entries into a daily log. It requires a bunch of sub-item data and inserting weather info of the day when the record was created. I was wondering if there is any way to automate inserting that day's weather info (temperature, rain data etc.) into that log when that entry is created (maybe even pulling in the date field and fetching the weather for that day automatically)? I reviewing ideas about using IFTTT or other automations but none seemed to allow for that day's weather info to be inserted into a log entry on record creating easily. Also, as you can see in the screenshot, I have to create a formatted record of multiple sub-items in a longtext field eg. in trade updates. Ideally these should be some form of structured sub-items but I am not sure if there's any way to handle that in this interface or data field (without creating a separate lookup table)...Thanks!

Hello, Everyone!I am desperately looking for a solution for something where I thought that it's easy to do. But somehow this is beyond my thinking. 🙂The situation:I have a table, grouped by a reference ("EXA"). Several records with same reference ("EXA") go through different "status" until it's done. The "status" gets updated slice by slice for the records with same reference. So far so good.What do I want to achieve:once all records under same reference have reached the same status (for e.g. "DELIVERED to project site") I want to get an alert. Best would be an automation which sends an email saying that all is done for EXA# 24DE535529298955B6.I hope the solution is not too easy, otherwise I would be frustrated by my own skills. 🙂Kai 

Hello I have these four pieces of data: Project Name {Text Field, Primary Field} Project Start {Date} Project End {Date} Project Team (multiple people) {???} *can be separate table I want to be able to create these views: a gantt view for my projects This will show the project name and the start and end dates a gantt view for each individual team member This will show each project they are working on My team will consist of four individuals that will be working each project. Some projects will have all 4, others will only have a couple. I need to be able to see how many projects each person is working on and how long they will be busy with projects. For the Project Team data I’ve tried linked records, collaborators, and mult-selects but they aren’t being treated as individuals, they are being treated as a group in all the versions of the gantt I’ve tried.

I would like to run Automation every week on Sunday, and the purpose is to have a running change for my Pivot Tables. I would like to take the "Items", "QTY" and "Last Date/Time Updated" from Table1, and copy/ paste that data into the Table2 which has the same column names. Is this possible and how is it done? I was poking around and wasn't able to figure it out.

Hi,I am looking for help to setup a sprint workflow in my Airtable base to plan sprintdeliverables ahead in time.I want to be able to plan subtasks (statuses within tasks) in future sprints. For example, I have a task, that has multiple subtasks such as Design, Development and Deploy. I want to be able to plan Design in sprint 22, Development in sprint 23 and Deploy in sprint 24. Ideally I would have a overview where I can see all sprints with all these subdeliverables in their respective sprints.Who is able to help me?Thanks!Mark

Hey everyone, I had a quick question to see if this is possible. I view my projects in a timeline view that is grouped by what phase the projects are in. The top group are projects that are coming up, but sometimes I dont have a date for an upcoming project aka I dont see the project in my timeline view. I dont want to forget about possible projects that are coming up with no specified date and was wondering is there like some sort of an option with airtable timeline view to have records that dont have a date show up under the group name on the left bar or somewhere where I can remember like ohhhh right that needs to be scheduled? Hello,I am trying to create a stacked bar graph in Airtable like the one I made in excel, but there's something I'm not quite understanding about how the chart extension tool works in Airtable. I cannot group the different day ranges under the record #, only the total, not the individual segments stacked. Any help would be appreciated, thanks.

Hi all -Airtable newbies here! I'm an ops manager supporting a team that has a ton of gates/deliverables. There are lots of dates (50+) and it is cyclical every 3-4 months. The team has told me it would be helpful if I created calendar invite reminders for their outlook calendar to keep them on track. I've already inputted all of the deliverables and dates into airtable and created some great calendar tools, but am having trouble creating the piece to bridge the gap to outlook calendar reminders.I was able to create an automation tied to a button on an interface. However, I'm finding a few limitations to this and wondering if anyone has any great solves?I have to press a button for each record/date individually. Is there a way to set an automation to apply to all records with certain conditions? (for example, add outlook reminders for all dates in X cycle?)I can input a distro list for attendees but I would love if it looked up to a field of emails from a table and then used those

If I create a survey form (interface) to be filled out for project requests - do the other departments making the request using the form need an Airtable license? 

I have created a table with days off of the team. BUT for instance a person takes 2 days (22-23//24) the airtable count it as 1 day. Is there any other way to count is as 2 cuase actualy the person will be off 22 and 23.Thank you

Hey all! I'm back with a new issue that I'm hoping won't be too hard to solve but I can't seem to find the solution myself. I have two fields that I need to combine. Field 1 contains a variable, such as GKM3, GKM5, etc. Field 2 contains comma-separated values like L16, L17, L18. I have been trying to find a formula to combine the value of Field 1 with each of the values of Field 2. So the output in the 3rd field would be GKM4L17, GKM4L17, GKM4L18. Unfortunately, when I try a concatenate or substitute function, it only appends the Field 1 value onto the first value in the list, like in Field 3.  I would really appreciate any help! 

Hello, I created a table of articles I published on my site.  For each row, I inserted the article title, publish date and various tags.   I would like to create a view/report so that Airtable presents me with one long report of all my articles organized first by a single tag..and then for each tag category it would sort the articles by date.Here's what I did:Using the "Group" feature,  I grouped by "categories" (all my tags)  and then i added a subgroup of Date.When it showed me the results (see attached), it showed me rows organized not just by a single tag, but multiple tags.  (It seems it's doing that based on how I added multiple tags to the end of a single row in my airtable).How can I see a long list of all my articles grouped underneath multiple  "single" tags (versus multiple tags)?  thank you,Matt   

Hello!  I'm trying to come up with a formula or script or something that will let me know when a duplicate record was entered into my table.  I know I can use Dedupe to find current duplicates, but this is an ongoing issue and would love to be able to be alerted if something is entered into the base that already exists.  I saw another thread from a few years ago that said this was possible with a script.  Anyone have any insight?  Basically I'm thinking that when a new record is created... the script will run and based on the results of that script it either will or won't send me an email.   Hopefully that makes sense!

Hi there, I would like to use a formula in the primary key column of an airtable data set to create a unique ID, or autonumber, but i want that number to recalculate when i insert a new row anywhere in the master data set so that the ordering is retained. if you use the autonumber field type, it will create the record using the next available number, then all my views start to loose the ordering i want.is there a way to write a formula that will re-calcuate the primary key column to retain the existing order, with the new record in place.  For example: 1 TestA2 TestB3TestC If i insert a row between TestB and TestC, the primary key would show as follows:1 TestA2TestB3Testnew record4TestC 

I created a scheduled email to send weekly when the status of my table matches certain conditions.  The message was done in a grid view to include the column information.  I am trying to figure out how the user that receives the email can actually update the records using the email instead of having to go into the base table. What am I missing? Is there a way to click to the records in order to update from the email that is sent out.  Thanks!
