I’m fairly certain the answer is going to be no, but is it possible to get/collect the accepted/rejected responses to calendar invites when sent via Automations?We have a meeting planner, we will send out invites using an automation (fairly standard) - can we accept the responses in some way to then use that information (for example, a manager declines, so we can invite their deputy)?Anyone done anything like this?

The Chatgpt plugin for Airtable doesn’t seem to recognize that it has access to automations.. I gave the following prompt Using Airtable, list all automations in the Personal CRM base. Include each automation’s name, deployment status, trigger, and actions.And it gives me the below response:  I found the Personal CRM base and confirmed full access. However, the currently installed Airtable connector does not expose automation-definition tools—only bases, tables, records, fields, interfaces, and comments.Therefore, I cannot reliably retrieve the automation names, deployment statuses, triggers, or actions through this connector. No automation list was returned.

 I have a very basic question! When I use linked records, I thought the field should auto-populate, but it is not doing that. Is there any way to make that happen? Eg: I am using Airtable for a small school attendance records. There are two tables; one called 'classes' and another called 'educators'. In Classes, each Class record (such as ESL120), has educator(s) listed in the 'Teachers' field. When I add a new class, I am able to look up teachers in this field, and I can see all educators listed in the Educators table. In the Educators table, each Educator is listed. There is a linked field called Classes. I want this field to auto-populate with any classes that the educator is listed under in the Classes table. TIA!!

I am trying to set up a more complex automation than I’ve done before and something is wrong but I can’t figure out what exactly.The base has a workflow for tasks to onboard/offboard employees. There’s an overview table and then tables with sections of tasks. So each new hire shows up on all 5 tables. On the task tables, I’ve got a field that totals the completed tasks. I want that number to automatically (when updated) to be updated for the corresponding person on the overview table so that I can do an overarching completion percentage. I had the AI tool help me try to fix it, but now the wrong data (sometimes from the wrong record, sometimes from the wrong field) is getting copied over to the overview table.

Hi,I’m building a work shift calendar for employees to see their own workdays. Hence the calendar access would be based on <current user>, which requires having a user field for the records. However, due to the amount of previous and current employees from different departments, I have built a separate “Staff” table. This way I can show only relevant employees in the work shift planning interface pages, making the UX a lot more convenient.I had hoped I could “produce/distill/populate” a user field based on this “Staff” table, but this seems not to be possible. For example, a Lookup resulting in an e-mail addresse matching the e-mail of a user could be formatted as a user, but this seems impossible.Has anybody found a workaround for this? I know and understand that I could use an automation, but I’m really running out of automations (and I would like to keep this within Airtable). Moreover, it doesn’t seem particularly tempting to waste an automation on such a small thing, even if

I’m importing data and Airtable determines that one field should be single select. This is totally fine but I’m wondering if it would be better to store the selections in a separate table and use a lookup.Is there a performance or size benefit to keeping all the possible choices for this column in a lookup table vs the single select options in the same table? So far, the largest number of choices from my data is 13 but there could be more.Let’s say I’m importing 8 data sets into new tables, each with a column that could be single select. The single select values would be unique for each table. Would it be worth the effort to populate the values from that column for all 8 tables into a separate lookups table? This raises the question of how to link that column or use a lookup after importing. Is there a programmatic way to do a lookup with a formula?

The formula looks like this:LEFT(TRIM({FullName}), FIND(" ", TRIM({FullName})) - 1) This is great when the ‘sender’ name field has the format:“Joe Bloggs” (Firstname[space]Lastname). However, some emails have the ‘sender’ name as “Bloggs, Joe”(Surname[comma][space]Lastname)or ... “Bloggs, Joe (Acme Ltd)”Surname[comma][space]Lastname[space][open-bracket)Company[closed-bracket]” I’m wondering if there is an IF formula (or similar) that would be able to deal with these specific differences, allowing me to extract only the first name?Very many thanks in advance. 🙏🏼

Well, after going back and forth with Omni for quite a while, I think I've finally reached the point where I need to ask about this specific scenario.I have a table where each record generates a unique 6-character code, something like X8MMA3.Now I'd like to create a public Form where the first field is simply a text input for the user to enter the code they've received separately (for example, by email). This code corresponds to a value in that table. The user doesn't see any other codes—it's not a dropdown or a linked record selector. It's just a plain text field where they type the code they were given.If the code exists, the user should be able to continue filling out the form and submit it. Submitting the form would create a new record in another table containing the user's inputs along with the code they entered.The key requirement is this: if the user enters a code that doesn't exist in the table, the form should immediately display a message informing them that the code is inval

Hi, Wondered if anyone could help with this…I have the following fieldsTitle, Sub Title, Series Title and Series OrderThen I have a full title field where I want to bring those together depending on which of those is filled in. So, if there’s a Sub Title, I want the Full title to show {Title}: {Sub Title}. If there is a series title then I want it to show {Title}: {Series Title} {Series Order} (as an aside, if I could get the series order in brackets that would be amazing, but I suspect impossible because brackets are part of the formula). And if neither Sub Title nor Series Title have an entry then I just want the {Title}. Hey. Thank you in advance or your help on connecting data between two tables. Linked records does not seem to apply here, but maybe I’m missing something. I am using Airtable to track disciplinary data for a school. We have two tables, one to track Pink Slips, and a second to track historical Disciplinary Cases. The first table “Pink Slips”, is where new pink slips are entered, using a primary field of a sequential ID assigned by Airtable for each new pink slip. One of the fields in this table is “Student ID”. The second table, “Cases” contains a historical record of all disciplinary cases (some resulting from pink slips), akin to a court case, with all data related to the resulting actions, dates, etc… The primary field in this table is “CaseID”. All of the data in the “Cases” table is imported from a school database, and also contains a “StudentID” field. For reasons that i would rather not get into, the two tables cannot be merged into one. I have an editable linked field in a record detail. How can I set the display order when selecting the record to link to?

Hello all.I’m looking to have a column (field) of field agents run/process once a week on a Monday morning. FYI these agents a prompted to go out to the internet and retrieve x information. There are no automation options specifically to do this - am I missing something or how else can this be achieved?Currently I’m thinking about having an automation that changes a field in each record (say make it today’s date), and that is something the field agent is monitoring to kick it off and run. Feels a bit hacky, but if anyone has better ideas please let me know. 

Someone on my team ran into an issue on a form where their selection on a rating field is not being retained visually on dark mode. See example of dark vs light: Thankfully the value is still being retained by the form on the backend, so this isn’t a game breaking bug, but it is definitely an annoyance for the people on my team. While this is probably a known issue, I figured I’d report just in case. Hopefully this is a simple fix. Thanks!Josh

I’m working on building a custom interface page that allows me to choose certain records to send out emails for. I started with a blank interface page and have built what I need to see data wise on the page, but I’m running into the issue of setting up a button to run my automation. I choose “Trigger an automation” when placing the button… but then it tells me that the source is unconfigured. I’m not able to choose my automation until the source is resolved. When I go to choose a source, I’m given no options.So I thought I might need to turn on my automation first. I went in to try to turn it on, but since my trigger is a button being pressed and it’s not connected to a button yet, it won’t let me turn it on. So I’m running into a roadblock on both ends.Does anyone know how I can configure this properly? 

Hi all. I have an automation that creates a doc in Google Docs as one of its steps. It’s triggered by a button press in an interface. We run it 20-30 times a day. 90% of the time, no problem. However, 5-10% of the time it randomly fails to create the doc with a very nonspecific error: When we re-run it with the same data and so on, it runs successfully.The workaround is simply pressing the button again, which is fine, but I’d still like to know what is going wrong. Is there any way to see more information on this error? Or, has anyone else encountered a similar issue?-Natalka

I sometimes wonder why I still pay airtable money. For an application that claims to be good for time planning it’s mad it still doesn’t seem to be able to do time and date maths properly. I am in UK (so GMT/BST) - I want to have a date field and a separate time field, and to be able to combine these two into a calculated dateTimenothing I have tried seems to work reliably for this without jumping the date back to UTC Has anyone found a solution for what should be a trivial task?Thanks Richard

I have an automation that runs from a button on a blank interface. I’m trying to fill in the qualifying Billing Sheet [Link] field with the value from the current Billing Sheet on the blank interface. The automation runs correctly, finding the matching records in the Invoice Task-Hours table. But it won’t link them automatically. I tried linking to the RecordId and to the Billing Sheet Title field. No dice. Note: the Billing Sheet Title field is a formula, if that matters?

I’m invoicing time records by project, by month. Each time record has a “Time Task” which comes from a linked lookup table. There’s some 42 time tasks and more may be added in the future. When creating a monthly invoice I want to summarize the hours for each task utilized by that monthly collection of time records for each project invoiced.e.g.5/1/2026 2.0 hours Preparation5/19/2026 1.3 hours Preparation5/21/2026 1.0 hours Preparation*Total Preparation 4.3 hours 5/8/2026 1.5 hours Development5/8/2026 5.8 hours Development*Total Development 7.3 hours I only want to show the * totals, not the actual individual time records.Ideally these totals would simply go into a separate table linked to the invoice.I really don’t want to use a third party tool like Make or Zapier. How can I go about doing that?

Airtable Community, I am looking for AI use cases for Project Management. We at Kalypso use Airtable primarily for Project Delivery. We manage health reports, Stakeholders, Assumptions, Schedule, RAID, Scope, Deliverables, Meetings, Etc. Most of the AI use cases I have seen demonstrated are more Marketing focused. I am looking at the AI Plays for “Operations” and some of those are helpful. I am hopeful others in this community have found or innovated for Project Management, or “Operations” use cases, to benefit from AI and are open to share. Regards,Jason Knighten
