Solved

I have been struggling for two weeks to set up a portfolio of projects in Airtable. I have a product that has multiple features. Those features have several projects each.I’ve completed all the training videos. None of them addressed this. I attempted to use the Project Portfolio Management template but it seems to be driven by the project goals which aren’t important for my team as we are not the product/project owners so have no need to track. I also don’t need to track at the task level--just the overall projects status, when sign-off and hand-off occur and, if possible, the status of Jira stories associated w/ each. Read an Airtable article regarding one or multiple bases. Didn’t really get me any closer. Any recommendations on how I should proceed?

Hello, Our leadership uses reporting dashboards for visibility on projects happening amongst their teams. There has been a request to send these in an email - however, we want to avoid any links that need to be clicked and would rather the interface images themselves populate in the email. Is this something that can be done? Is it possible to do it without a third-party application? Thank you!

Hey everyone, I’m at a bit of a stand still with moving forward on an email request. Essentially, projects are being reported as incomplete when a link isn’t generated in the records interface. However, some projects don’t require URLs. We don’t want to encourage people to put “N/A” in the field (for fear they’ll default to that versus best practice), but it’s been difficult to figure out a workaround for generating the automation email while not have validation opportunities to say “in the case that this request is a certain type of request it doesn’t need the url”. It’s possible my brain has just become fried but I’m not super sure how to accomplish this - any help would be appreciated! Thank you!

I am using a Pivot table to summarize student attendance records by month. The pivot table pulls from an ‘attendance’ table in which each record is a class session, and the students present are listed in a linked field. The pivot table has rows of student names, and columns of class session dates. (screenshot attached). “1” indicates that student was present. Grey bar indicates absent. I’m using these settings not exactly as intended, but this way makes the formatting most legible for staffmembers who aren’t versed in AirTable.  Is it possible to display a total # students in each class session? When I select ‘show totals’ in the pivot table settings, it shows the total # records, which doesn’t always equal the total # students present (See screenshot) I’ve created a rollup field which calculates this number, but I can’t integrate that field into the pivot table.  Any solutionsmuch appreciated.

Hey there, Thank you for your time helping me :) I’m trying to do a rather easy automation. Every last day of a month at 4pm I’d like to send an email to every person who fulfill conditions (a field date is past today), see below  When configuring the “send email” part, I can chose to “use data from” :current item (here the list of record but treated individually if I understand it correctly) Find records (all the records found)   If I chose current item it gives me blank value. (even though on the finding trigger part I get different records found and with email displayed)If I chose “find records” it’ll put every values of the list (all emails matching conditions) and I want to send each mail individually with dynamic values in it (Hey “insert name”, ...) Do you have any idea why it’d give me no value when choosing current items ? It gives me blank value for mail but also all other fields Thank you for your time, have a nice day !Victor

I previously posted about this issue here:  I made updates to the Automation per @anthonyXRay ‘s advice but I’m still getting a steady stream of “Something went wrong with an automation” notifications. And similar to last time, the end data looks to be correct, so I’m not sure what’s triggering the errors. At this point, I’m wondering if it has more to do with @TheTimeSavingCo ‘s suggestion that all the steps are happening on top of each other and I need to introduce a delay somewhere. (If so, where and how?)Any suggestions as to what’s triggering the error and how to fix would be appreciated!

I have a base with a few tables, and an automation set so that when the status of a record on the Tasks table is updated, the linked record on the Time Tracking table is also updated. I’ve been getting intermittent ‘Your automation has failed’ notifications but all of the expected updates on the Time Tracking table are present. History log only ever says “Received invalid inputs”. I’m not sure how to even figure out what the problem is.

Hello Airtabler, We use Microsoft Teams for both internal and external calls. I’d like to have a button in the interface that lets me make a call via Microsoft Teams. Unfortunately, a button with “Callto:” or something similar doesn’t work. We use Chrome as our browser. I’m almost afraid that this might be due to one of the company’s default configurations. Or does anyone have any ideas?

Put together a video tutorial on generating PDFs of shipping labels from your Airtable data that might be useful for people.   Approach taken:Shipping label template designed in DocuPotion PDF of shipping label generated via an Automation (triggered whenever user checks checkbox associated with record) Shipping label automatically uploaded to an Attachment field in the tableOther topics touched on:Database setup for generating shipping labels (3 different tables used) Including data from linked records in the PDF Any questions let me know 🙂Alex

I’m fairly certain the answer is going to be no, but is it possible to get/collect the accepted/rejected responses to calendar invites when sent via Automations? We have a meeting planner, we will send out invites using an automation (fairly standard) - can we accept the responses in some way to then use that information (for example, a manager declines, so we can invite their deputy)?Anyone done anything like this?

The Chatgpt plugin for Airtable doesn’t seem to recognize that it has access to automations.. I gave the following prompt Using Airtable, list all automations in the Personal CRM base. Include each automation’s name, deployment status, trigger, and actions. And it gives me the below response:  I found the Personal CRM base and confirmed full access. However, the currently installed Airtable connector does not expose automation-definition tools—only bases, tables, records, fields, interfaces, and comments. Therefore, I cannot reliably retrieve the automation names, deployment statuses, triggers, or actions through this connector. No automation list was returned.

I have a very basic question! When I use linked records, I thought the field should auto-populate, but it is not doing that. Is there any way to make that happen? Eg: I am using Airtable for a small school attendance records. There are two tables; one called 'classes' and another called 'educators'. In Classes, each Class record (such as ESL120), has educator(s) listed in the 'Teachers' field. When I add a new class, I am able to look up teachers in this field, and I can see all educators listed in the Educators table. In the Educators table, each Educator is listed. There is a linked field called Classes. I want this field to auto-populate with any classes that the educator is listed under in the Classes table. TIA!!

I am trying to set up a more complex automation than I’ve done before and something is wrong but I can’t figure out what exactly. The base has a workflow for tasks to onboard/offboard employees. There’s an overview table and then tables with sections of tasks. So each new hire shows up on all 5 tables. On the task tables, I’ve got a field that totals the completed tasks. I want that number to automatically (when updated) to be updated for the corresponding person on the overview table so that I can do an overarching completion percentage. I had the AI tool help me try to fix it, but now the wrong data (sometimes from the wrong record, sometimes from the wrong field) is getting copied over to the overview table.

Hi,I’m building a work shift calendar for employees to see their own workdays. Hence the calendar access would be based on <current user>, which requires having a user field for the records. However, due to the amount of previous and current employees from different departments, I have built a separate “Staff” table. This way I can show only relevant employees in the work shift planning interface pages, making the UX a lot more convenient.I had hoped I could “produce/distill/populate” a user field based on this “Staff” table, but this seems not to be possible. For example, a Lookup resulting in an e-mail addresse matching the e-mail of a user could be formatted as a user, but this seems impossible.Has anybody found a workaround for this? I know and understand that I could use an automation, but I’m really running out of automations (and I would like to keep this within Airtable). Moreover, it doesn’t seem particularly tempting to waste an automation on such a small thing, even if

I’m importing data and Airtable determines that one field should be single select. This is totally fine but I’m wondering if it would be better to store the selections in a separate table and use a lookup. Is there a performance or size benefit to keeping all the possible choices for this column in a lookup table vs the single select options in the same table? So far, the largest number of choices from my data is 13 but there could be more.Let’s say I’m importing 8 data sets into new tables, each with a column that could be single select. The single select values would be unique for each table. Would it be worth the effort to populate the values from that column for all 8 tables into a separate lookups table? This raises the question of how to link that column or use a lookup after importing. Is there a programmatic way to do a lookup with a formula?

Hi all! I’m looking for ideas on the best Airtable approach for combining a high-level project roadmap with team capacity planning.I have a Master Projects table that brings together:Actual projects already assigned to the team Potential future projects that may be coming down the pipelineBoth use the same core fields, including Status, Assignee, Project Type, Product, Start Date, and Estimated Due Date. Potential work can represent either a specific expected resource or a larger initiative where we know significant work is coming but don’t yet know all of the individual deliverables. The goal is primarily team-level, monthly planning: helping our manager see committed and potential work together, identify especially busy periods, and gauge whether we appear to have bandwidth for additional work.I’ve tried Kanban, Timeline, and Roadmap Interface layouts, but none has felt quite “right” in terms of capturing both timing + workload. At this point, I also feel like I may be overthinking it

Hi everyone, I hope you can help.I have an create record automation that enters the full name from the ‘sender’ field in email headers. I then have a formula field to display their firstname only. The formula looks like this:LEFT(TRIM({FullName}), FIND(" ", TRIM({FullName})) - 1) This is great when the ‘sender’ name field has the format:“Joe Bloggs” (Firstname[space]Lastname). However, some emails have the ‘sender’ name as “Bloggs, Joe”(Surname[comma][space]Lastname)or ... “Bloggs, Joe (Acme Ltd)”Surname[comma][space]Lastname[space][open-bracket)Company[closed-bracket]” I’m wondering if there is an IF formula (or similar) that would be able to deal with these specific differences, allowing me to extract only the first name?Very many thanks in advance. 🙏🏼

Well, after going back and forth with Omni for quite a while, I think I've finally reached the point where I need to ask about this specific scenario.I have a table where each record generates a unique 6-character code, something like X8MMA3.Now I'd like to create a public Form where the first field is simply a text input for the user to enter the code they've received separately (for example, by email). This code corresponds to a value in that table. The user doesn't see any other codes—it's not a dropdown or a linked record selector. It's just a plain text field where they type the code they were given. If the code exists, the user should be able to continue filling out the form and submit it. Submitting the form would create a new record in another table containing the user's inputs along with the code they entered. The key requirement is this: if the user enters a code that doesn't exist in the table, the form should immediately display a message informing them that the code is inval

I am trying and failing to access tables from Gdevelop’s “Send a request to a webpage” action. The action form looks like this: Naturally I am getting “401 Authentication required”, since I haven’t figured out where to place the PAT. I assume it goes somewhere in the URL, but where and in what format. Any help is much appreciated.

Hi, I notice that when I key in Chinese in the Search Extensions, the results always come out null, it seems like a bug.

Hi, Wondered if anyone could help with this…I have the following fieldsTitle, Sub Title, Series Title and Series OrderThen I have a full title field where I want to bring those together depending on which of those is filled in. So, if there’s a Sub Title, I want the Full title to show {Title}: {Sub Title}. If there is a series title then I want it to show {Title}: {Series Title} {Series Order} (as an aside, if I could get the series order in brackets that would be amazing, but I suspect impossible because brackets are part of the formula). And if neither Sub Title nor Series Title have an entry then I just want the {Title}. I don’t think there’ll ever be a case where we have a series title and a sub title so I’m not worried about that for now. At the moment I have:IF(  {Series Title}, {Title} & ": " & {Series Title} & " " & {Series Order},     IF(      {Sub Title}, {Title} & ": " & {Sub Title},      IF({Series Title} = BLANK(), AND({Sub Title} = BLANK(), {Title}

Hello all,I was looking in the forum, I didn’t find anything really matching this query, so here I am.Idea: have a single dropdown menu to choose an option and once it is selected the user clicks on a button to display a form (form associated to the option selected on the drop down menu).Notes: initially, no intention to use anything outside portals interface, I know there are tools out there, really good ones, with a lot of interesting features, but right now I want to know if I am hitting a portals UI limit or if there is a solution or kind of solution available within the AT platform.I am just asking if someone got hit by the same idea/issue and found a solution. It is also valid if I hear feedback like… “I tried everything, omni, script… nothing worked, ended up with fillouts”. That’s also a valuable info and I really appreciate it.Alternatively, I was thinking on play around with forms/add record pages and play with conditional visibility to adjust the form fields based on initial

Hey. Thank you in advance or your help on connecting data between two tables. Linked records does not seem to apply here, but maybe I’m missing something. I am using Airtable to track disciplinary data for a school. We have two tables, one to track Pink Slips, and a second to track historical Disciplinary Cases. The first table “Pink Slips”, is where new pink slips are entered, using a primary field of a sequential ID assigned by Airtable for each new pink slip. One of the fields in this table is “Student ID”. The second table, “Cases” contains a historical record of all disciplinary cases (some resulting from pink slips), akin to a court case, with all data related to the resulting actions, dates, etc… The primary field in this table is “CaseID”. All of the data in the “Cases” table is imported from a school database, and also contains a “StudentID” field. For reasons that i would rather not get into, the two tables cannot be merged into one. As/after the admin enters new pink sl

I have an editable linked field in a record detail. How can I set the display order when selecting the record to link to?
