Hey experts, I’m a beginner of Airtable and I’m setting up the bases & interfaces to present my team’s resource allocation plan.I have set up two bases: Task & Timeoff. And I have created an “Utilization Interface” as shown in the below screenshot.I’m wondering if there’s a way to show the timeoffs in this interface as well? If so, should I merge the two bases (task & timeline) together? Or if there’s any other best practices that I can keep these two bases separated but still show both the task and timeoff in the same utilization view?Thank  you so much for your guidance!!

My AirTable implementation deals with scheduling and staffing of courses for a university. We have a table for Professors, a table for Courses, and a table for Offerings which marries the two together with each record representing a single staffed course-section that students will ultimately be able to register for.Of note: currently our professors do not have AirTable access. Having them create accounts is currently not an option, unfortunately. Additionally, our plan does not include AirTable Portals.When we initially link professors to offerings, we need to send emails to have the professor accept or decline the position. We currently intend to do this via a Fillout form that will allow them to edit a single select field with accept/decline as the options (the “Accepted?” field below). Our issue is with the fact that professors teach several offerings every term, so sending one email for every offering would be cumbersome. I like to know what others are doing to have better organization of managing their users against workspaces, bases, and interfaces, specifically within their organization. I have built a number of apps amongst different departments. We have not decided to turn on enterprise hub yet for our enterprise account but we do have SSO. However, I think using groups would be useful as a growing community of users is developing. I’m a little clunky with using groups and will need to a lot of clean up. Structurally this is how I’m laying it out:Workspace per department Product owners of the Base have creator access only at the Base NOT at the Workspace level (Reasons - within the department could have multiple products not meant for other team members thus at the Workspace level gives too much control) Groups - Product owners are Group ManagersMy logic in what I’m thinking to do:At the Base level manage access for creators only Instead of inviting people directly to the base or interface per a pe

I’m very new to Airtable, here’s what I’m trying to achieve. I have a table named Inventory: Name, Category, Price.A table named Project: Address, inspection date, images, Reno Estimate. Ideal process: From the Project I want to select items (30-50 items) (ideally a multiplier field. eg: 1x, 2x etc) from the Inventory list. (Or even just a checkbox) So for the Project I’ve selected what Inventory items I’ll need and the total of their cost.Hope that makes sense.

 Good day.  I’m looking to add or rather hard code the time 6:00am as shown int the automation field below: How might I go about doing this?  Currently it brings in the date, but it changes a bit.  For example it’s specified as 7/21/2025, however what it changes it to is 7/20/2025 5:00pm  Here’s the automation:Would there be some way to “tack” on the hard coded time 6am or would I have to create yet another field to do that?  Eventually this will be used in a Workato Recipe, and they’re more buggy. Thanks!

Hello,We are using the “Phone SlackID” field in Airtable and passing its value into the body of a message using the “Slack Send a message” action in an Automation to send mentions.In the “Phone SlackID” field, we’ve set each user’s display name in the format @last.first, and it has been working correctly for almost all users.However, after one staff member changed their display name, they no longer receive mentions. Specifically, @last.first now appears as plain text.Could you please advise us on how to resolve this issue?

I have a date time difference formula formatted to decimal with 2 places but not returning any values less that one. My formula is as follows: DATETIME_DIFF({End Time},{Start Time},'hours')What am I missing? If I recall correctly this should be able to return hours less than 1 (e.g. 0.5 for half an hour difference)

Hi! Do you know if it’s possible to add the text generated for an AI field to an email automation? Everything seems fine in the other fields but not in the AI generarted. I tried copying it with a formula but it is not working.   

AirTable is not allowing me to upload my CSV file. I click on the + sign, select “CSV file” under “Add from other sources”. I drag in my CSV file under the “Local Files” section and click “Upload 1 file”. It seems to work, I select “Create a new table” under the “Import your file” dropdown. It shows me a beautifully created base with all the column's I’d like.  However when I click “Import” I get an error sign saying “Can’t import CSV file” with the statement “Invalid data” underneath. Does anyone know what might be going on / how I can fix this. The only option airtable gives me is to click a button saying “Okay” and I’m back to the start.

Is there a way to export the structure of a table to csv, JSON, etc.? Specifically, I’m looking for a way to export information about a table, not the data itself. Some method that will give me an output like field 2 is long text, field 3 is lookup, field 4 is date, field 5 is single select, etc.

Anybody has tips on how to do that? I have a long text field (cca. 1000-2000 characters including spaces). Beside that another field showing keywords, usually not more than 10-15 keywords. These keywords are typed in through Google API and edited by me manually. These can be keywords (or better say key phrases) are separated by comma. These are the words (phrases) I want to make sure I have them in my long text field in sufficient number of times. I am looking for a way to calculate the keyword density, that is how often do the keywords (the words in the keyword field) appear in the long text field. I do not need to see individual count, sufficient is to have summary count - number of times any keyword appears in the long text. The density count will give me a percentage = number of total keywords(phrases) / total words in the long text I looked at this suggestion here but it seems to me Airtable database would explode if I start generating a tag (which seems to me is essentially a

I have an email automation set up so that when an attachment is added to a field, an email is triggered to a project manager with a copy of that attachment.Currently, we delete the old attachments before dropping a new one in so you do not receive multiple attachments with the email that gets triggered.Now with the new Versions feature, I want to keep the old attachments in the field but only have the latest attachment added to the email. Is there any way to limit the attachment field in the email automation to only the latest one that was added?

Hi, can someone please help with my formula? I’d like to calculate the number of days between two dates, but if the dates are the same then they should display 0. The formula below works to show the ones with the same date as 0, however it then shows the ones with different dates as being one figure too little. DATETIME_DIFF(  {Post Sale Date},  {Auction Date/Time (Local)},  'days') To fix this I added +1 to the formula, which of course, solves the latter issue but not the issue for same dates need to show 0. DATETIME_DIFF(  {Post Sale Date},  {Auction Date/Time (Local)},  'days') +1 Can someone please assist 😊

But Im trying to find out the difference on the settings and visibility, there’s no difference. Hi! Does anyone know a trick about how to get the email of a user, that filled a form with a “Restrict access to an email domain” activated? When this feature is on, the user must sign up and login into AirTable to fill the form. If the user’s email domain belongs to the one accepted at the form settings, then he can view the form, fill and submit it. So my question is: since the user have just signed up and login, is there a way we can save the email address used, inside the created record? Thank community!

When using a form, I want to offer specific choices for students to choose from, but I also want to offer them to option to fill in some option that we haven’t thought of. (As in, “how did you hear about us? Internet search, friend, Facebook, other- tell us how”) Thanks Linda

Is this scenario possible?I want to automate a task on my team in which a team member would create a record and attach a word doc to it. The team member would then fill out a form which allows them to attach the record they just made (or any record via the dropdown that lists all team member-made records). Once they submit the form, it triggers an automation to send a pre-determined Teams message with the record chosen from the form. I successfully created an automation to make part of this happen, but i can’t get it to attach the record (because the message is static and the attachment is dynamic?) Is there a way to make this work??

Hello all,So I have been uploading attachments to a field through a google share link and have made sure to make the file and folder public but for some reason when i click on the attachment it just comes up as a blank screen and says loading but never loads. The share link is fine as when I put it in the url bar it works perfectly. Im unsure what is causing this??

Does anyone know the names of the colors in Airtable? Thank you.
