Hey Guys, i wanted to ask if a guest user via Airtable Portals has the possibility to actively work in interfaces and set for example a drop down menuitem to an different value or add comments in a single line text field, which then is updated in the base. Or is the guest user via Portals a read-only access and changes made are only visible for the guest user session?
Hi!I’m close to reaching my storage limit on the “Team Plan” (20 GB). I’ve been deleting data to free up space, but I’m not making progress fast enough. Here’s my question:If I have a base with images in X number of rows, and another base with a “lookup” field that mirrors those images from the first base, will the images count twice toward my storage limit?
I have three tables.One has business information.One has Employee information.One has information about the workshops the business have signed up for. I want to create a table that tracks employee attendance for all workshops at all businesses. All employees attend all the workshops the businesses sign up for.I don’t know how to do this without a left table join. It seems like it should be simple, but it is not.
Above are my video statuses. Each being usually marked by whomever is processing.Now, they won’t always have an issue, so 4-5B won’t always be marked. Sometimes the localization nor the closed captioning will happen, however for the most part they’re all sequential. The Ready for Production will happen a couple times if there are errors, and they have to be changed back to the ready for production status after errors are corrected.Any suggestions on how to set this up as far as for a timeline/Gant to show the progress for each step?I do have dates for each of these statuses:All the way up to It’s a WrapAm I missing any dates, or should my order take into consideration for the errors and have multiple, video editing done dates, and statuses? Just curious. My idea is the gant/timeline views would show the dependencies, predecessors, and successors, and each would be colored based upon their status color. Do I have enough there to do this? I’m wondering how or if a Make or Zapier sync model can detect changes on field types that can’t trigger the ‘last modified’ field that the sync is based on. If no editable fields on the record are ever changed, would the sync detect changes on a rollup field?What’s a best practice way to achieve this?

Hi everyone, I’m looking for some advice regarding Map View in Airtable.We have one table with all the businesses we work with, and another table with all our points of interest. What we’d really like is a single Map View where both datasets appear together, each in a different color (for example: businesses in one color, POIs in another).Right now, Map View only accepts data from one table. To work around this, we had to create a combined table that contains both businesses and points of interest, with a “Category” field that marks each record so they appear in different colors. This works, but it’s messy and difficult to maintain.My main questions are: Is there any way to use another mapping solution inside Airtable Interfaces, something faster or more flexible than the current Map View? Is it possible for Map View to show records from two different tables, or is merging everything into a single table the only option? Any recommendations or best practices would be greatly appreciat

Currently, I am managing 6+ programs with multiple projects within them which I will breakdown for understanding Before I outline the structure of the programs - the key goals I'm hoping to achieve are the following: Primary goalsCentralised source of truth for all programsDashboards to show the progress of current programs (likely based on milestones)Show all tasks outstanding for each stakeholderCritical paths with date dependencies. I have a few solutions on another platform that allow free users to vote on records. Is this possible in Airtable? I’m willing to pay for myself and my team, but asking people who will only use the solutions once or twice a year to vote is a non-starter.
CONTEXT: I am a Film and TV Producer (on a Pro (Legacy Team) account) with PEOPLE, COMPANIES and INTELLECTUAL PROPERTY bases that I sync (i.e. “push out”) as relevant to seed specific FREE client/project bases so a handful of (<5) different team members (respectively) can update content specific to their projects.EXAMPLE: I maintain box office data on movies, track streaming, broadcast and cable series ratings, statuses and talent (ShowRunners, Actors, Writers, Directors, etc.), actors’ bankability stats, everyone’s credits linked to their IP, who’s moved company-to-company in the relentless musical chairs and vertically integrated morphing and consolidating - it’s A LOT to track! In Airtable, the default color assignments for status fields need to be customized. The desired configuration is as follows: On Track → Green, At Risk → Red, Off Track → Light Red, and Resolved → Blue. These color mappings should also be consistently applied to all related charts and graphs.
We are a nonprofit that does contracted training, and I have set up a base to track the workflow from initial inquiry to completed training (with # of participants, etc.). Still struggling to get usage, but hopefully with some recent tweaks to interfaces, that will improve. I’m adding some automations to speed up the process and get more consistency- i.e. having a proposal auto-generate from the data entered, and then when final to have it auto-generate a contract. I’m using Fillout.com to gather the official info (oftentimes the contracting entity and signer are different than the person we’re working with directly), and then plan to use Docsautomator.io to generate the contract. My question is… from a “safety” standpoint, i.e. not losing essential data, do you see any difference between saving the contracts in a Google drive and using a URL field to store the link, or using an attachment field type and “inserting” the document? Hi everyoneI'm wanting to share my Base with a new employee who's role is head of marketing.I dont want them to be able to see financials etc so only want them limited to tables relating to their role. Currently we have all our tables relating to our business in one Base.Ideally they would be able to edit the AT base backend as some things are easier that way than setting up interfaces (e.g. uploading bulk new leads) and also they can set the base up how it works for them doing their role.Is it best to create a new Base and sync it or a seperate base without 2way sync?I'm currently on the Team plan that is level down from Business plan that allows two way sync. @ScottWorld @TheTimeSavingCo @Mike_AutomaticN @MloganAirtable Appreciate any ideas from you guys! 🙏

Hello, At the moment we have our planning tool in google sheet - per name / per day / what to do (fixed sessions per week) I want to add the planning to my airtable base (which i have done now) BUT:at the moment i have per day - per person - per week But if i have to change the date every week - it will be a task extra How can I do this so that I have a planning for weeks/ maybe months etc..

I’ve run into a problem that I can’t solve.I’m using a Rollup field, and I need to get the total for the previous month.I’m using the filter “Date – is within – the past month”, but it gives me the total for both the current and previous months.When I set fixed dates for the previous month (from the 1st to the last day), the calculation works correctly.Below, I attached a screenshot with my filter settings and the result.I expected the numbers to be the same with this configuration, but they are different.The issue is that I can’t use fixed dates, because I need the period to be calculated dynamically.
Hi team!I have to create an app to analyze interviews, extract discussed topics and suggest social media posts, based on the topics. Similar to the one Alex McDonnel showed here.It should have three datasets: Interviews, Topics and Posts. Omni created the app and filled it with some examples. Everything looks great, but when I add the new interview no topics or posts are created.Could you tell me how to fix it?
Hello, I am syncing my calendar to Airtable, but once I did so out of the items on the calendar it is broken up into two separate kinds of events, so a sure-fire way to be able to separate and organize them is item one right now I have an automation whenever and events/ record is created it tags (single select) either one or the other with Nobody edit permission as very rare will items float between the different types. Secondly, so many of the calendar meetings are canceled or deleted. I want Airtable to follow when that happens, but also snap back live on the calendar if it is brought back into the calendar. Anything to help me head in the right direction would be appreciated.

Hello!I’m looking at building a forecasting tool for a seasonal sales business and I’m not sure the best way to set up the base table My dream is a Forecast App/Page (currently happy with out Softr interface) that; #1. has a list of all products, with 2024 sales, 2025 sales, and then an editable field for 2026 Forecasted Sales#2 can be expanded upon to see a listing of customers and their purchases of said product (ideally with quantities and gross margin)#3. The forecasting and customer sales data is only visible to the relevant salesperson (sales code) My question is; what is the best way to set up the database. Currently I have different tables for Salesperson, Customer, Items, 2024 Sales, 2025 Sales (this is over 6000 entries), and then a forecast table that summarizes total item sales per sales code for 2024 and 2025 and has that 2026 Forecasted Sales column. Am I on the right track, it seems like I’m running into issues when linking things together to get that layered visibility
