Base Design

 I’ve been building an Airtable app for my team (about 10 people) at a foundation. We make a lot of grants across different programs, and I’ve been trying to create a central hub for all of our work. So much of what we do overlaps that it just made sense to keep everything in one app rather than splitting it up.Right now I’ve got about 15 tables:  organizations, projects, tasks, budgets, inquiries (from email), notes, annual budgets, program budgets, etc. It’s a big base, but I’ve built separate interfaces for each program, so even though the back end is large, the front end feels really clean.Some folks on my team have suggested that each program should have its own app, with a master one where everything rolls up. I’m not sure that’s the best approach. it feels like it would add more work and complexity.Curious what others think.  has anyone else gone through this decision? Hello I thought this would be simple to figure out but somehow its not working for me.I have 4 tables.  They are all linked together.  Each field in everyone of these 4 tables has a common Dept Code (this is their link to each other).  Also in each of these fields is a field Associated Program.  At times we may need to edit the data in the Associated Program field.  If we do this I would like that update to appear in all the other tables as well.  I thought if I linked them this would be the case.  But they are linked on the dept code?  How can I create something that would update this other field in each of these tables.   Thank you, hope this makes sense.

Just posting this to check if there is some kind of systemic issue happening, or if this s***storm is unique to my Org. Airtable status says fully operational but something is definitely wrong.My Organization has several bases that are currently experiencing a complete collapse in their functionality. At the moment, we have 4 bases that cannot be accessed reliably, and 2 of these can’t be accessed at all. The bases can’t be loaded by any user, on any device, on any network. I’m an event promotor. I’ve been using AT for a while to keep track of community member applications, event details, and general ticket sales. I want to get a better sense of real time income via sale so I’d like to update the base.Right now, I have 3 tables in the base:Member List - Record for each member with personal info Events - Record for each event (Party A, Party B, Party C, etc) Ticket Types - Record for each type of ticket (Full price, 25% off, 50% off, comped, etc)None of these include price of the ticket and I would like to start tracking that.Thinking the tables should be this, but I’m not sure:Member List - Same as above Events - Same as above, but add in pricing columns for different ticket types — Tier 1 = $90, Tier 2 = $100, Tier 3 = $110, etc. The pricing can change from event to event so the amounts cannot be a universal across all events. Hi everyone 👋I’m trying to find the best way for multiple users to import data (from XLS or CSV files) into the same base — ideally directly through an Interface rather than the Extensions panel.We’ve tried the CSV Import Extension, but: The import mapping doesn’t save across users. Even for the same user, it sometimes resets or forgets the previous mapping. There’s no way to create or reuse “import templates” for different file types or tables. What we’d really like is: A way for different users to upload a file (XLS or CSV) through an Interface form or button, Automatically import it into a target table using a consistent field mapping, And ideally store those mappings permanently (so no need to re-map each time). I feel like I’m missing something pretty easy. I’m having a hard time converting what I do in Excel into our Airtable base. Each year our clients' total sales (a rollup of their sales for a given year) converts to shares based on a sales/shares tier. The tier changes every year. Because of this, we want to track the data historically. For example:Client ABC’s 2024 Total Sales were $250,000 and they earned 4 shares based on the 2024 shares tier.Client ABC’s 2025 Total Sales were again $250,000, but this year they earned 2 shares because the tiers changed in 2025. We need to track the tier changes each year as to keep data integrity of the shares earned each year by our clients. (We don’t want ABC’s 2024 points to change from 4 to 2, which it would if we use a nested if formula - the change in criteria for 2025 would mean an edit to the formula which would have a cascade affect and change all previous year's data.) ANNUAL

I have a base that I’ve published as a library, let’s call it Part Numbers. It only has two fields - a Part Number and a description. I have 2 or 3 other bases that are pulling in this library as a table, and they’re linking records to it.I now need to make some updates to the Part Numbers base - some individual #s may be deleted, or descriptions might be changed, etc. If I upload a new CSV to the main library base and overwrite everything that’s there, but many of the #s never change at all, will the linked records in other bases stay linked?

Recently we have been displaced due to flooding in our apt, I wanted to create a base to track the items which need replacing and repair along side with an image to have an overview and then send to our insurance. The left sidebar, which contains nothing but the new LLM button, can no longer be collapsed. In an interface that is essentially a series of excel-like rows and tables, every inch of my screen is valuable, especially on a laptop screen. This bar of empty space actively slows down my workflow as it increases the amount of scrolling sideways I have to do, and it also throws off my muscle memory by moving all of the tabs over, and pushes the actual useful information on the left side of the screen away from the edge of the screen where I am used to finding it. Please add an option to move the LLM button to the top right, next to the base history and contact sales buttons, where there is a ton of empty space already. Or, add an option to minimize the sidebar, like we used to be able to. Or better yet, give us an option to hide the LLM button entirely if we are not interested in using it. I know every CEO believes that LLMs are the next big thing that must be

Hi guys, I am new to this… I am trying to sync my Shopify orders to airtable. If customer order 2 times, how can I separate the 2 items to 2 records instead of all jam in one? We used to manage it on GoogleSheet with zapier, and they have a function of creating multiple lines, how I can do that in airtable? Thanks xoxo

So I’ve been employed by a business to consult on a new food menu, cost recipes and implement a standard recipe book. They use airtable in their other venues for some things like inventory management but not kitchen operations. They’ve asked that I try build a tool for the kitchen that can then be shared across the group.Being new, I only got so far and I’m feeling a bit lost and confused about layout, how some things drag information from where and why some things are where they are. The AI tool has got me so far and it’s been good. But to fine dial this tool for their specific needs I am seeking help!How much are consultations? Does anyone do this for free/cheap to build their portfolio? I’m limited in what I can offer as the budget is well blown out on the venue already due to the build.

I am a big Airtable fan, I am very careful, but every now and then I create empty records by clicking on sections, etc. Now, I always figure it out and clean up but can only notice beginners do that almost systematically. I am sure certain there are UI enhancements the Airtable team could implement to make people aware they are actually adding entries in a table.

I am trying to create a call log for our company, but the issue is that I want to figure out how to display multiple back and forth or escalations relating to one call case without adding many rows. I think this could be done with linked records. but here is the schema: Last Name First Name ID Date Type Relation Reason Description Phone Email Link to Assigned Staff / Assigned Team for follow-up. Status (for follow-up) with Resolved or Escalated. I want to demonstrate if it is Escalated that it would move to another person, and allow them to do the next level of response. I’ve been trying for a few days to create a budget in airtable, enlisting chat gpt’s help.  It’s been a disaster.  Wondering if anyone has successfully created a budget here yet?  I’m a therapist, this would be a budget for personal and business.   I would import csv files at the end of each month from all the credit cards, venmo, bank accounts (presumably) to fill out the data.  My best, Brad

Looking for input and suggestions for the best approach. I am collecting information via surveys and interviews. Records are created for each survey response based on the respondents name. Based on that survey, I will then be interviewing a select number of these survey respondents. Is it better to have a separate table with notes about interview on a new table, or the same table. If I use a new table, what would the primary field be? I’d still want my notes associated with the interviewees name, right? I initially had a formula for the primary field that used the linked record of the survey respondent i chose for the interview. Seemed clunky..ORShould I just add fields for Interviews in the same table and have a separate table view when needing to add interview data? Notes: I already have another table that will essentially catalog responsibilities each respondent owns. Based on the docs, I understand that “Notify users with base access when they’re added” means they’ll be automatically watching the record for incoming comments, but the language of that sentence is a little unclear. I’m afraid to turn on the setting for fear 200+ people are about to get hundreds of emails. Some questions about how this setting works:Do only users with base access get notified? Hi all.So I seem to be stuck. I have a table called People. 100s of records with them all associated with a Company Name (from Company Table). Some people are designated (checkbox) as being a billing contact or primary contact for a company. All of this is great. I made a view called People By Billing view that shows me just those markedNow each year we sent out invoices. We have a table called Payments, with one record for each Company in the Company Table.  This is all good. Here is where I am frozen. What I want to do is pull those that are marked as primary or billing from People to link in the Payments. We want this because we send out emails via the SendGrid tool to those people and attach the Payment ID to it so we can process. I wrote a script that loops through a People By Billing and writes them to a linked record in Payments but it keeps overwriting the record already in the linked record, and honestly, I don’t feel like this needs to be a formula. HiI want to have a small database to control my clients pending payments, the idea is to have a a way to see wich services are paid and wich services are not paid yet.  And create a sort of query to search if for example one  particular client has bills that we need to collect, like a balance sheet of the amount that we need to bill to a particular client, and also a way to mark a bill as paid when the cliente makes the payment (for this I guess the checkbox is the best option)I don't know if the explanaition is good enough, English is not my native language but what I want in spanish is Cuentas por cobrar, wich in English I think it is translated as accounts receivableIs this possible on Airtable? The new forms look nice, but I liked old ones better. Specifically, it was not as wide and the font size was larger (now it puts a lot of strain on my eyes). How can I use the old design in my forms? Or adjust the font size and how wide the form is?

Hi everyone, I'm a bit new to using tools like AT and am looking for some feedback. My overall goal is to maintain membership data within organization(s). These organizations are linked together to some capacity and have overlapping members. I want to use this to my advantage so that updates from one organization update the profile of the person (and thus other organizations).I included some organizational charts below to get a better idea of what I’m trying to accomplish. The main problems I’m having with the current setup is:How to handle the unique person ID problem. Data lists provided are not 100% standardized with complete information. only 10% of records may have a phone/email, so do I resort to fuzzy matching based on first/last + zip code?User defined fields. Some clients may have a field they want to store for information like membership ID #, DOB, etc. How do I allow for this without adding a new field everytime and updating all my automations.
