I’m invoicing time records by project, by month. Each time record has a “Time Task” which comes from a linked lookup table. There’s some 42 time tasks and more may be added in the future. When creating a monthly invoice I want to summarize the hours for each task utilized by that monthly collection of time records for each project invoiced.e.g.5/1/2026 2.0 hours Preparation5/19/2026 1.3 hours Preparation5/21/2026 1.0 hours Preparation*Total Preparation 4.3 hours 5/8/2026 1.5 hours Development5/8/2026 5.8 hours Development*Total Development 7.3 hours I only want to show the * totals, not the actual individual time records.Ideally these totals would simply go into a separate table linked to the invoice.I really don’t want to use a third party tool like Make or Zapier. How can I go about doing that?

hi all, i am sure this should be easy and i cannot get it to work i have a products table {product id} and {product name}a menu table which pulls the product name using the product idand an orders table which lookups the product name from the menu i am then trying to concatenate in orders the product_name and qty into one string {products}&" ("&qty&")"{products} here is a lookup field i’m expecting Bread(1)but instead get 2(1) 2 is the product id i’ve tried formula, arrays and rollup function thank you

Airtable Community, I am looking for AI use cases for Project Management. We at Kalypso use Airtable primarily for Project Delivery. We manage health reports, Stakeholders, Assumptions, Schedule, RAID, Scope, Deliverables, Meetings, Etc. Most of the AI use cases I have seen demonstrated are more Marketing focused. I am looking at the AI Plays for “Operations” and some of those are helpful. I am hopeful others in this community have found or innovated for Project Management, or “Operations” use cases, to benefit from AI and are open to share. Regards,Jason Knighten

I sometimes wonder why I still pay airtable money. For an application that claims to be good for time planning it’s mad it still doesn’t seem to be able to do time and date maths properly. I am in UK (so GMT/BST) - I want to have a date field and a separate time field, and to be able to combine these two into a calculated dateTimenothing I have tried seems to work reliably for this without jumping the date back to UTC Has anyone found a solution for what should be a trivial task?Thanks Richard

Hopefully a quick yes/no.I have several published datasets right now serving multiple bases all within one workspace.I’m about to split out our workspace into several for permissions control reasons. Will the dataset still be available to other workspaces (all under the same account), or is a dataset limited to just the one workspace it is created in?

Hey. Thank you in advance or your help on connecting data between two tables. Linked records does not seem to apply here, but maybe I’m missing something. I am using Airtable to track disciplinary data for a school. We have two tables, one to track Pink Slips, and a second to track historical Disciplinary Cases. The first table “Pink Slips”, is where new pink slips are entered, using a primary field of a sequential ID assigned by Airtable for each new pink slip. One of the fields in this table is “Student ID”. The second table, “Cases” contains a historical record of all disciplinary cases (some resulting from pink slips), akin to a court case, with all data related to the resulting actions, dates, etc… The primary field in this table is “CaseID”. All of the data in the “Cases” table is imported from a school database, and also contains a “StudentID” field. For reasons that i would rather not get into, the two tables cannot be merged into one. I had a database from another location that had an existing {Item#} field. I want to keep and continue from the last existing Item# with autonumbering. The problem is that when I change the Item# field to autonumber, it renumbers from 1. Is there anyway to change the field to autonumber and then revert the original numbers?

Hi everyone! I’ve been trying to use Webhooks for a while to create a simple link that will allow my University’s Data Team to click a link to let us know that a query has been created. The Data Team will not use Slack either, so I’m basically trying to do an Actionable Message, but automating sending an ‘actionable’ link through our Microsoft Teams Channel.I have the Webhook examples below.The formula automatically generates the RecordID into the Webhook so that when it is sent, the RecordID appears in the Params. However, I can’t get that information to go into the Body, so I am not able to use the RecordID in my “Update Record” automation. (AirTable recommends using ReqBin for webhooks/testing, so that’s what I’m in) With University Guidelines and permission issues, I am only able to do this through AirTable and not any 3rd party tools. Do you have any suggestions on how I can do this? Thank you!

I have a multi-select form field.If they click Paid Social, I only want to show the questions related to paid social.If they click on Organic Social, Employee Advocacy, or Executive Advocacy, they get other set of questions.Additionally, can I hide all the questions until the preferred channel is chosen?

I am trying to create a task management database for a small farming operation. Each year, many tasks will follow the same pattern of dependencies, duration, and time between. I currently have 4 tables: Plants: As I add plants to the list, I can generate tasks for the Task table with an automation that pulls tasks from the Templates - Task List table. Templates:  Lists the different available task templates.  Templates - Task List: Lists the different tasks associated with each Template. Also links dependent Predecessor and Successor tasks. Tasks: The final output table, where tasks from the Templates - Task List table are added when the automation from the Plants table is triggered. For my project, I need to compare responses between two Google forms with the same questions. At the beginning of the program, the student fills out a form with 15 questions (competencies) of the type (Never, rarely, sometimes, always), and at the end of the program, they fill out another form with the same questions. The goal is to validate, by student, whether there has been progress in competencies or the evolution of competencies among the various students.I already have the table with the students' data; how should I create the tables for this project? Maybe you have a solution for me. I have some interfaces set to grid view because I import data from Excel using copy and paste. However, I've noticed that the page is very sluggish in grid view. When I switch the page to list view, it runs smoothly.Is there anything I can do to fix this?

Hello,The question is fairly simple.I have an Interface page with a button that updates a field called “X” (basically an on/off checkbox). However, I would also like to record which user triggered the button and when it was triggered.Updating the checkbox itself is immediate using a button with the “Update record” action.My questions are: Is there any way to also capture the portal user’s email, ID, or any other unique identifier into another field (let’s call it “Action X triggered by user”) using the same “Update record” button action, or would I need to trigger an automation and run a script? Same question for storing the timestamp when the button is clicked. Notes: I tried using a single line text field for the user, but the value is not dynamic and must be predefined in the Interface button settings. Maybe some feedback on this would help draw attention to it. I think it would be great if we could save and select presets of an interface’s settings. For example, I want to see a specific type of task here that I need from time to time. Having a saved setting for this would be great. What do you think?

We’re looking at turning on AI for our Enterprise grade account and expect that we wouldn’t burn through the monthly quota of 25K credits per Editor licence, but given we haven’t trialled anything, I’m really just stabbing in the dark as to what our usage would be.We would use it for sentiment analysis, researching on the Internet, document analysis (which is more heavy on the credit usage), a lot of Question/Answer and also reporting anaylsis through Omni I’d imagine.I just wanted to see if anyone out ‘in the real world’ was finding they were bumping into limits and need to restrict usage or whatever.Cheers, Dan.

I have two tables:InvoicesTime Invoices has a project, start date and end date.Time has a project, start date and hours. I’m trying to find all the time records between the Invoice start and end dates for a project and assign them to the invoice. But when I try to find the time AT only allows static choices, not dynamic. How can I make this work?

Hi!I need to track attendance for different cohorts put on throughout the year. Each cohort has multiple sessions and multiple attendees. When attendees are linked to a cohort, I would like to automatically create attendance records for every session linked to that cohort. Attendance statuses will be updated manually later. I am having trouble setting up the looping automation. I have never set one up before and I am getting stuck. Hi everyone! I hope I explain this correctly since I’m not an Airtable guru. I created an Airtable automation with Gmail and completed a project yesterday. I want the client to receive an automated email confirming completion of the project today. Images of configuration and results are attached, but the email hasn’t been sent yet. I assumed it would have been sent by now and it hasn’t. I’m CST and currently it’s 10:55am. Am I missing anything?

I have three Tables. - Commit Items, Invoice Header, and Invoice Detail. Lets assume that For Commit No ACB001 there are 4 Records in Commit Items Table with many records for other Commit Nos.. When the invoice is received for Commit No ABC001 and entered on Invoice Header table with Invoice No and Commit No ABC001, I would like automation to grab four records from Commit Items table and create those 4 records + Invoice number in Invoice Detail table. How do I achieve this? Just a reminder, I am new to AirTable.

I’ve imported several tables into AT. They each had a day field (no time element). I just noticed all the dates are +1 day from what they should be. How is this even possible?More importantly, how do I fix it?

Hi guys,I’m building a CRM within Airtable and need to create a two-way sync between Airtable and Google Calendar so if an event is created/updated/deleted in one, it automatically updates in the other. This is the current setup I have: A separate ‘Meetings’ table for events created within Airtable and a separate table that’s integrated with the Google Calendar (on the interface, it will all just be one calendar). I am trying to create an “Update Record” automation so if an event is updated in Airtable, it updates in Google Calendar but I’m running into some issues and with the vice-versa automation.The trigger runs successfully but the action always fails:Always the same error processing the actionHas anyone done a two-way sync before and can please shed some light on how to achieve this? Thank you!
